Fluidly Send Mails in Gmail By Mentioning Your Contact With The @ Symbol

If you're used to tagging your friends on Facebook, Twitter, or Instagram by typing @ + <your friend's name>, then surely you'll like this new feature in the New Gmail. When writing an email, you can mention your contact by typing the @ symbol and then the name of your correspondent in the body of the email.


Gmail will show a list of contacts as you type the name, and you can use the Up or Down arrow key and hit Enter to select the contact. The name will appear as a hyperlinked text in the body of the message and populate the To: field.


This trick only works with people you've already contacted, and only in the New Gmail interface. It's still a helpful feature nevertheless.

G Suite admins can enable the New Gmail in the Admin Console:



  1. Go to Apps > G Suite > Gmail.
  2. Under User settings, scroll down to "New Gmail Early Adopter Program" and select "Allow my users access to the new Gmail UI and features".
  3. Save.

G Suite users and regular Gmail users can opt in on the feature by clicking on the gear icon in their mailbox and then choosing the option "Try the new [Yourdomainname] Mail" or "Try the new Gmail".


If you spend your time mostly on writing emails, then this cool feature should allow you to be more productive. Go ahead, try it now!

The road to G Suite - A quick overview of the transition

G Suite offers many advantages as a professional productivity suite. Some notable ones are collaboration, uniformity, integration to other platforms, ease of access, and ease of use. This post aims to highlight some of these advantages and keys to establishing a successful implementation. Administrators and pilot users are certainly familiar with the time and effort it takes to teach end users a new software. Thanks to Google's focus on usability and user experience, G Suite is one of the easiest productivity suites to learn.
Globally welcomed and renowned, Google's software has become widely used and accepted by businesses and consumers alike. With over 1 billion monthly active Gmail users, folks have been exposed to at least one other Google product, such as Drive, Calendar, or Hangouts. Even if you haven't used many of the applications, just being exposed to them gives you a baseline of familiarity and eases the learning process. It's also very likely that your end users may already be using G Suite applications like Docs, which means they probably require minimal user training and can focus on more important tasks.

We live in a fast-paced business world which requires us to have tools that are easily accessible. Unfortunately many end users still believe business software can only be accessible on one specific platform and on one specific device at a time - those days are long gone! Google understands access needs vary from user to user. Some prefer a specific OS (Windows, Mac, or Android) and others prefer a specific device such as a laptop, desktop, or tablet. Because G Suite is cloud based and cross platform efficient, it can be accessed from any user’s preferred software and hardware configuration. Undeniably a familiar environment helps speed up the learning and work process.

Although G Suite is easy to use we sometimes find end users to still be mildly resistant to change as they're already comfortable with their current workflow. To ease the process, we recommend the following:

Make the announcement: of course it's best to let everyone know that changes will be occurring to improve their workflow and performance. Consider having the changeover announcement made by a high ranking person in the organization to help ensure users read their communication instead of just deleting it. Announcement of the change will collectively get the team aware and curious of what's to come.

Prepare for the change: implementation of a new platform brings with it some challenges and is not a short term matter. For example, changes to company policies may occur as the team gains access to the plethora of G Suite features. In order to ease user concerns, we recommend gradual adoption. There should be a clear plan for what changes to policy and workflow are needed over a clearly defined time frame. A well planned and communicated migration helps make transitioning easier on both your IT staff and your end users.

Educate everyone: hesitation should be expected and worked with. As mentioned before, many end users already have familiarity with and use Google products in their personal lives. Leverage this into showing them all the benefits G Suite has to offer. Organize training around teams with users that encourage learning on their own by using the system. Machine learning in G Suite - How it increases productivity

Humans have been evolving rapidly over the last few centuries; from the agricultural age, to the industrial age, to now the information age. As we evolve so do our tools and the ways we interact with them. Take G Suite for example. Just over the last few years, G Suite has evolved from more than just an email and contacts solution, it now has the capacity to anticipate your business needs and facilitate collaboration and productivity at an unprecedented level.
Formatting documents, email management, and creating expense reports. These are just a few of the common time-consuming tasks that negatively affect productivity. Time spent working on tasks that do not directly relate to a creative output is costly and is referred to as 'overhead'. Unfortunately, huge overhead is common in most businesses and hinders valuable potential. According to a study by Google in 2015, the average worker spent roughly 5 percent of their time actually coming up with the next big idea. The remaining 95 percent of the time was dissolved in the form of formatting, tracking, analysis or other mundane tasks. With all these tools and efficiencies, one would think the percentages would be reversed. To make this possible, Google introduced what's known as machine learning.
What is machine learning? Essentially, machine learning algorithms observe input examples and make output predictions based on data. In G Suite, machine learning makes your workday more efficient by handling menial tasks, like scheduling meetings, or by predicting information you might need and surfacing it for you, like suggesting Docs for example.

Ever notice how you received less and less spam over the years with Gmail? One of the first applications to use machine learning was Gmail. Historically, Gmail used a rule-based system, meaning Google's anti-spam team would create new rules to match individual spam patterns. With over a decade worth of data and using this process, Gmail improved it's spam detection accuracy to 99%! It's now one of the most secure and spam free email applications in the world. To take it a step further, in 2014 Google augmented the rule-based system to generate rules using machine learning algorithms instead. This took spam detection to another level which now allows Gmail to continually regenerate the “spam filter”, so systems learn to predict which emails are most likely junk. Naturally, machine learning finds new patterns and adapts more quickly than previous manual systems - it’s a great reason for why there are more than one billion monthly active Gmail users today!

The goal of G Suite is to help teams accomplish more with an intelligent range of applications, no matter where they are in the world. Another great example of machine learning is Quick Access in Drive which predicts and suggests files you might need within Drive. Quick Access intelligently predicts files based on who you share files with frequently, when relevant meetings occur within your Calendar, or if you have patterns of using files at specific times of the day. Using predictions based on recent Drive activity greatly increases a users productivity and efficiency for day to day work.

An easier way to login to G Suite

Google is soon rolling out a noticeable update to your sign-in page to give you an improved experience to securely sign in to your accounts. The purpose of this new design is to make browser sign-in flows consistent across computers, phones and tablets. Here's what it will look like on your desktop:
We find some G Suite users complain about an inconsistent login experience via multiple devices, especially if they aren't using a third party SSO (single sign-on) utility. Google heard the complaints and in addition to the improved aesthetics, the new Google sign-in page will remove the “Stay signed in” checkbox that at certain times appeared for G Suite customers. This checkbox has been the source of much confusion so removing the checkbox will enable users to remain signed in unless they specifically sign out. It's always recommended to use a private browser (incognito) window when using shared or public devices.
Users using a third-party SSO provider to access Google applications, such as Gmail, Calendar, Drive, etc., will not see any differences apart from the newly designed Google Accounts login page.

Users using a third-party SSO provider to access third-party applications will see an additional account selection page when they log in. This page will clarify which account they’re authenticating, as well as the permissions they’re granting to applications. All third-party SSO providers, including Active Directory Federation Services (ADFS) SSO, will use the new Google Accounts login process.
All G Suite users will be shown the account selection page, before or after being redirected to the third-party application, depending on whether they’re already signed in to their browser and the specific third-party application they’re accessing. It's important to note that after being prompted to confirm the correct Google account and granting the requested permissions upon initial login, only the account selection page will be shown again upon subsequent login attempts. Existing G Suite users who use Google as their identity provider, will not be affected by the changes and will only see the redesigned Google sign-in page.

Removal of an account from the sign-in page is easy, this can be done from the account selection page by clicking the “Remove an account” link.
Hopefully this will assist in resolving issues for G Suite users on multiple devices and users who use an SSO utility. The update will rollout on Monday, April 10, to a small set of users and will ramp up slowly over the course of several weeks. Here's an even beefier tier of G Suite!

Most of us know that G Suite is offered in two tiers; Basic and Business. Announced January 31st of this year, G Suite is now available at a premium level; G Suite Enterprise. Here's a quick breakdown of the respective tiers:

G Suite Basic is a professional office suite of collaborative productivity apps that offers your business professional email, shared calendars, online document editing and storage, video meetings, and much more. Basic is offered at $5 per user per month.

G Suite Business is the enhanced office suite. In addition to everything available in G Suite Basic, it includes unlimited Google Drive storage and Google Vault for everyone in your organization, plus additional Drive administration, auditing, and reporting features. Business is offered at $10 per user per month.

G Suite Enterprise is the new premium office suite. In addition to everything available in G Suite Business, it includes advanced administrator controls and customization features. Enterprise is offered at $25 per user per month.

Although many small to medium sized business may not consider the Enterprise tier, it's a value-packed and full-featured version of G Suite from all angles. To start, administrators on an Enterprise subscription get the following abilities:
Google extending DLP (data loss prevention) to Google Drive, making it even easier for admins to secure sensitive data, control what content can be stored and protect users from accidentally sharing confidential information externally.
In addition to these administrative features, Enterprise users get data loss prevention for Gmail and Drive to prevent leakage of sensitive data, such as credit card numbers, via emails or Drive. Users can set up policy-based actions to notify the admin, add warnings to message headers, or block emails from being sent when sensitive content is detected. Over 50 detectors for sensitive content matching are available with custom rules to provide warnings or block sharing. Enterprise also allows you to integrate Gmail with third-party archiving tools to help you meet complex email compliance requirements; this goes beyond archiving with the Google Vault service. These are definitely premium features but one of our favourite's is the ability to use dial in numbers for Google Hangouts/Meetings so team members on the road can feel connected and productive in meetings despite wi-fi or data issues.

The new tier is definitely great for businesses, but is also ideal for Education, Government, and even non-profits. With the new Enterprise tier, Google brings all of the great services from it's other G Suite tiers, along with a few new ones of it's own, to really meet the needs of organizations that require the above and beyond. G Suite: Basic or Business?

  • Google Vault - Manage, retain, search, and export your organization's email and on-the-record chats.

Google doesn't allow businesses to pick and choose different tiers. Each G Suite subscription is domain wide, meaning everyone in your domain will have the same tier. You cannot upgrade some users to use G Suite Business while others use G Suite Basic.

New names & new tricks!

No more forged emails! - SPF and DKIM

Secure email is vital to any organization. If you have ever received email from your employee or a company you do business with, but it's actually really from a malicious/unknown source, then you've seen first hand how easy it is to forge emails. Our previous blog post covered how users can prevent important email from landing in their spam folder. This post covers a common question we get from our customer base; why does sent email end up in the recipient's spam folder or isn't delivered at all?


Every recipient is unique and has different spam filtering settings for messages being received. Typically, recipient servers don't provide information about spam filtering to the sender of an email simply because it makes the recipient vulnerable by giving too much information to actual spammers who could then potentially get around the filters. This is where SPF and DKIM authentication come into play. Authentication legitimizes the source of the email to prove it isn't forged and is a thorough way of ensuring your email is delivered to the person you are sending to.

A sender policy framework (SPF) record is a type of DNS (domain name server) record that identifies which mail servers are permitted to send email on behalf of your domain. SPF records are used to prevent spammers from sending email on your behalf. It essentially asks, "is this email coming from an authorized mail server?" If it isn't, the email is likely to be spam.

A DomainKeys identified mail (DKIM) record simply adds a digital signature to emails your organization sends. The email recipient servers check if the signatures match and if so, the email hasn't been tampered with and is from a legitimate sender. Fundamentally, the DKIM check verifies that the message is signed and associated with the correct domain.

Having both SPF and DKIM records in place can greatly reduce the potential of spam email appearing to be sent from your domain and also improves email deliverability. An easy way to check if your domain's SPF and DKIM records are in compliance with Google's recommendation is by going here: https://toolbox.googleapps.com/apps/checkmx/check.

Important mail going to spam? Read this!

It happens to a lot of users. Your boss, colleague, or client asks if you've completed the first draft and you look at them with a blank face, with no clue as to what they are referring to. You either missed the email or it somehow landed in your spam folder which you rarely ever check. "Why is important email landing in my spam" you ask? Simple, you get Gmail to stop checking for spam - sort of.

If you're finding that wanted incoming email is landing in spam, here is a way to redirect it to your inbox. Filters are one of the most powerful tools integrated in Gmail. If you understand the power of email filters, you can do quite a lot with them to manage your inbox efficiently and productively. Follow these simple steps to setup a domain filter to automate "spam email" to redirect into your inbox.

1. Click the gear icon in the upper right corner of your inbox and select Settings.





2. Select the Filters and Blocked Addresses tab and at the bottom select Create a new filter.



3. In the resulting popup, place this text (without quotes) “is:spam” into the "Has the Words box", enter the domain name from which wanted mail is landing in spam, and click Create filter with this search.






















4. Check the Never send to Spam box (and any other boxes you'd like a match for) and click Create filter.






That's it! You've now created a filter to prevent wanted mail from that specific domain from going to your spam folder. Technically we haven't stopped Gmail from checking spam, but this filter functions in practically the same way, so no more scavenging through your spam folder to find that lost unread email. Next time you get an important email from that domain in spam, it will automatically pass along to your inbox as a regular piece of mail.

Gmail vs. Outlook - Which one?


We spend a significant amount of the day reading and replying to emails, so using the right email client is imperative for optimized productivity and efficiency. The most prominent and favoured email solutions to date are Google's Gmail and Microsoft's Outlook.

To decide which solution works best for your business, it's crucial to address the kinds of features and functions your users require. Outlook is generally the 'comfort zone' option for a lot of users, and has been for some time; it's a familiar and popular application. However, Gmail has been steadily growing in popularity (surpassing 1 billion active users in Q4 2015) and in our experience, it's taken the throne away from Outlook—but how? While Outlook and Gmail both offer a similar experience with basic send/receive functionality, Gmail has taken a step further with lightning-fast mailbox searching, integrated voice and multi-person video chat, and other productivity enhancements such as Priority Inbox. Furthermore, Gmail integrates Google Hangouts, the communication platform of choice of the next generation. Gmail also includes the ability to easily attach and link files stored in Google Drive. Google Apps Learning Center offers a great overview of Gmail and Google Apps.

Although the majority of Gmail 'converts' really enjoy it, we've come across users who prefer Google Apps but insist on using Outlook because of their familiarity with the old-school interface. Many users may struggle and even dislike the change to conversation view in Gmail, but once trained on the benefits, the majority find it really helps manage large volumes of emails without using time consuming methods like sorting by sender and filing in individuals folders. Placing Outlook on top of Gmail excludes users from many powerful Gmail features that can really boost productivity and efficiency. For example, Gmail can merge emails into a single "conversation," which makes it much easier to navigate messages compared to Outlook. This enables the user to view or hide any related correspondence with a simple mouse click, instead of having to shuffle through multiple messages from the same sender. Gmail also upgrades folders with labels, which means that one email can have as many labels as needed versus Outlook, which only understands folders so users can only file a single email in a single folder - how old school is that?! Despite being able to assign multiple tags to one email, once trained with tips to use Google's powerful email search capabilities, many users stop filing in folders and using labels altogether.

Having instant access to your email and files, along with seamless collaboration, is another big selling point for Google Apps. There is no need to download, install, update, and sync legacy applications like Outlook since Google handles all the related maintenance and automatically updates Gmail, so users always get the latest innovations. Xero integrates Google mail - A Potent Mix

Our top 5 Android phones!

Our last post was inspired by iOS users that wanted to see Google applications integrate into Apple's mobile platform. Although there are many iOS users that use Google services, we also see a lot of Android users in our customer base. The iPhone is a popular smartphone in North America, but Android is steadily growing and owns over 80% of the global market share.


Android users typically already use a Google application such as Gmail, Calendar, Hangouts etc., which makes sense since Android is an open-source operating system from Google built for mobile phones and tablets. Androids are known for their customization, usability, and come in many flavours. Companies such as Huawei, LG, Motorola, and Sony are among a few that offer Android phones in a variety of builds, specs, and sizes. What sets a great Android experience apart is user-friendliness and a well-rounded seamless mobile Google experience.

Our top five picks are based on two main components of any smartphone; hardware and software. The phones listed below offer a beautiful build and most of them are paired with a buttery smooth OS - Android 6.0 Marshmallow. Note some devices, like the Nexus', receive OS updates before others. Nexus phones are our first picks since our team members find them simpler and more reliable than non-Nexus phones.

Here is our list of the top five Android phones:
Nexus phones are pure Android, which basically means they were designed under Google's requirements and specific guidelines. Essentially, Nexus phones are how Google intends Android to be - slick and easy to use - and are available unlocked to any carrier if purchased directly from Google. A huge advantage Nexus devices have over other Androids is frequent and timely firmware updates, so you're always first to run the latest version of the OS. After having used both Nexus and non-Nexus Androids, one of our biggest gripes with non-Nexus devices is bloatware (factory installed apps you can't remove and don't need). Nexus devices don't come pre-installed with bloatware or a skinned version of Android such as Samsung's TouchWiz. This is one of the primary reasons our boss switched from his Asus ZenFone 2 to Huawei's Nexus 6P. Even though the ZenFone 2 has good hardware for the price, the software end user experience between the two devices is night and day. Manufacturers such as Asus and Samsung make great quality hardware, but it's a shame the user experience falls short of great due to bloatware and software add-ons.

To illustrate the difference between Nexus and non-Nexus Android phones, say for example, you go to buy a new car. It's a great car and you can tell the designer put a lot of thought into every detail. It's very refined and elegant.  Now the dealership you are buying the car from has given it a few 'upgrades' including things like racing stripes, a fuzzy dice, steering wheel cover, extra cup holders, and several bumper stickers. This all comes pre-installed as a package. Maybe you don't really want or need all that, but it's all or nothing. Oh, and the radio presets are already installed for you and cannot be removed. After you purchase your new car the manufacturer releases a safety recall, but you can't get the safety issue resolved for 8 months because it's not compatible with those cup holders yet. Of course, this is an exaggerated example but hopefully this analogy emphasizes the difference.

All in all we do have non-Nexus Androids listed on our top five which should indicate that not all of them come pre-installed with heavy bloatware and get well-delayed firmware updates. At the end, it really depends on user preference as some user's find the Nexus Android experience too bland and prefer a skinned version of Android such as Sony's Xperia Home. There are other factors that can steer your decision when purchasing an Android device; like price, display, battery life, and even the camera. Phishing - Avoiding malicious emails and links

Phishing attacks trick users into sharing personal information online and are typically done through email, ads, or compromised sites that look similar to sites that you may already use. What we see in our customer base are Google Apps and Gmail accounts that get hijacked and then used to send emails to further compromise more accounts. This normally happens when an end user enters their email address and password into a malicious website from an email link supposedly from a coworker or trusted source. Often this is a faked page that uses legitimate logos and text but normally with errors that may raise red flags for you. Phishing emails are also personalized sometimes which makes it more difficult for the recipient of the email to assess credibility.

There are a number of ways users can protect themselves and their organization from being victim to phishing attacks. The best way is to turn on two-step verification. Enabling two-step verification will require the user to authenticate beyond a username and password. It's an extra step, but ensures that the account is extremely difficult to compromise because even if an attacker has your username and password, they are unable to access your account without a unique, time-sensitive code. Here is how you can enable two-step verification for your Google Account.

Phishing is often successful when a user becomes complacent and too busy or rushed to bother checking the source of an email or site. Being aware and diligent, especially towards unexpected emails or attachments, can help you recognize when you are being targeted for phishing. Always confirm that the URL corresponds to the site you're expecting to see and before you enter your credentials, be sure to check for a trusted domain like google.com or facebook.com and that it's not something like google.xyzname.com or facebook.xyzname.com. If you are the slightest bit unsure, don't enter your login information and contact the person who sent you the email.

Another way to ensure the legitimacy of a site is to check whether the URL begins with https:// (s for secure) and has a lock symbol next to it. The lock means that the site is encrypted, which doesn't necessarily mean it's not hacked, but is a dead giveaway if it is missing.

Many account hijackers will email your contacts attempting to also gain access to their accounts, and then delete all your contacts. To add to the maliciousness, email filters may be used so that you don't see emails from people telling you your account has been compromised.


This phishing website attempts to trick users into giving away their login credentials and propagates by email. User's tend to login without actually looking at the URL first. We've reported the link and Chrome has already blocked it.

Tip: Always check the URL in your address bar, because if it's not from a legitimate root domain like google.com, it could be malicious.

If you do come across a malicious site or link, do not forget to report it. You can follow common advice by "reporting to an appropriate party" but  they typically do nothing. Take action and save your coworkers, family and friends from the bad guys by immediately submitting malicious links to Google. Often within as little as an hour of filing the report, the site will get blocked from Google search and Google Chrome. Firefox is relatively fast also, but Internet Explorer can take weeks to start blocking it.

Lastly, virus scanners rarely catch much in our experience but are still a necessary protection for the occasional time they do prevent problems. We recommend Symantec Endpoint Protection because it provides a cloud based console for monitoring your protection status across the company.


Unfortunately phishing sites still increasingly trick many users into surrendering their personal information and credentials. Hopefully this post has shed light on how you can help yourself and others avoid becoming victims of phishing. Tips for "The new compose in Gmail"

Google Apps users now have the option of turning on "The new compose in Gmail".

Note that you've always been able to Shift-Mouse Click the Compose button to open your new message in a separate web browser window.  You can also click the small black up arrow on the right hand side of the "To:" field to open in a window after you've started composing.


We are bringing this to your attention because the new compose button is missing lab features like Canned Responses and doesn't appear as a separate window on your Windows taskbar making it harder to find when it is embedded in your main email tab.

Certainly try it out.  You can always switch back to the prior compose interface from the arrowhead menu at the bottom right corner of the new compose feature.

Lifehacker says "Gmail is the best email client around..." and provides some advanced tips in today's posting. Note Google Apps users should install "Google Apps desktop features" from Advanced Tools in your Google Apps Administrator Control Panel instead of the other notifier utilities mentioned for changing your default email client on Windows. Also SmartLabels we think overcomplicates things so not recommended. Otherwise lots of advanced tips to help make you a Gmail Ninja.

Gmail app for iOS available in the App Store

We've been using this since it was originally released on Nov. 2nd. Definitely recommended for Google Apps users on iPhone or iPad. You get the familiar Gmail user interface both on-line and offline... and this was developed nearby by Canadian Google Engineers.
